Europa Media Trainings is pleased to invite a selected group of institutions to a special, three-day training programme in Madrid, tailored for professionals working in grants offices and research support units who advise and accompany researchers before and after grant award. This masterclass showcases our highest level expertise in Horizon Europe proposal writing, project implementation and financial management, ranging from training courses to high-level executive consultancy assistance, combining the key elements of our most successful open and in-house trainings into a single, intensive and practice-oriented course.

Over three days, participants will gain strategic and operational insights covering the full project lifecycle – from designing high-impact proposals, through effective project management under different funding models, to compliant financial reporting under actual cost grants. The programme is delivered by Europa Media Trainings’ senior trainers and consultants, combining structured training with real-life examples, practical tools and interactive discussions. 

As an added benefit, the EUR 1,000 participation fee will be fully deducted from the invoice of any in-house training or consultancy service ordered within the next 12 months, making this programme a risk-free entry point to future collaboration. 

Programme Overview 

Day 1 – Horizon Europe Proposal Writing: Concept, Impact and Evaluation 

  • Call analysis and concept development – what to go for, what invitation to accept; 

  • Structuring convincing Impact sections aligned with expected outcomes;

  • From ambition to measurable results: pathways to impact – tools and methods; 

  • Common weaknesses in Impact sections and how evaluators assess them; 

  • Pre-evaluating the final draft of proposals – how to check all elements? 

Day 2 – Project Management and Reporting: Actual Cost vs. Lump Sum 

  • Key differences between actual cost and lump sum Horizon Europe projects; 

  • Implications for project design, implementation and internal management; 

  • Reporting logic, timelines and risk management under both funding models; 

  • Best practices for smooth project coordination;  

Day 3 – Financial Rules, Reporting and Audits in Actual Cost Grants 

  • Horizon Europe financial rules: short introduction to all pitfalls and challenges when it comes to management and accounting;  

  • Personnel cost reporting and calculation: methods, documentation and bottleneck showcased;  

  • Time recording systems and audit proof practices; 

  • Typical errors leading to corrections and how to avoid them;

Practical Information and Conditions 

The participation fee of EUR 1,000 per person is symbolic and serves only to cover basic organisational and logistical costs of this high-level programme. Participation is limited to two representatives per institution; different participants for different days are not possible due to logistical and pedagogical reasons. The course is limited to 20 seats and registrations are accepted on a first-come, first-served basis. 

Networking and Consultancy Opportunities 

Dedicated networking and informal consultancy sessions with Europa Media Trainings’ senior trainers are built into the programme on Day 1 and Day 2 after the training sessions. These moments are designed to encourage peer exchange, explore institutional challenges and discuss tailored solutions in a confidential, professional setting.
